Front Office Responsibilities:
  • Answer incoming calls in a courteous, timely, and professional manner
  • Greet visitors/employees
  • Manage the reception visitor log
  • Sign in for all non-laboratory deliveries and distribute in a timely and proactive fashion, keeping the front office organized and welcoming
  • Prepare and distribute incoming/outgoing mail including FedEx and other shipments
  • Distribute daily faxes
Administrative Support:
  • Provide administrative support to the VP of Imaging Development and the VP of Clinical Development, as well as on-site support for the VP of Imaging R&D
    • Coordinate travel plans including agendas, hotel, and air and ground transportation
    • Effectively prepare and process expense reports as required, follow policies and procedures
    • Maintain calendars and time by planning and scheduling meetings, conferences, teleconferences, and travel
    • Support Lilly leaders in arranging meetings with Avid staff
  • Support the coordination of participation in professional meetings and conference (maintain a list of relevant meetings, communicate timelines, track participation, etc.)
  • Maintain documents on appropriate servers and repositories, learn and adhere to Avid records retention policies
  • Provide administrative support to Operations team as needed
  • Provide administrative support to Avid staff as needed
  • Serve as Back-up to Operations Coordinator and other Administrative Assistants as needed
  • Demonstrate a commitment to developing around Avid's core competencies: cultivates innovation, drives engagement, ensures accountability, plans and aligns, nimble learning, and manages complexity
  • Other duties and special projects as assigned
  • Associate’s degree
  • A minimum of two years administrative experience
  • Qualified candidates must be legally authorized to be employed in the United States. Lilly does not anticipate providing sponsorship for employment visa status (e.g., H-1B or TN status) for this employment position
  • Bachelor’s degree preferred
  • A minimum of two years of relevant experience in a fast-paced office environment
  • Strong knowledge of MS Office
  • Team-player attitude and willingness to assist all groups within Avid
  • Impeccable organizational skills
  • Superior written and verbal communication skills
  • Excellent customer service orientation
  • Organized, detail-orientated, and competent follow through skills
  • Ability to prioritize and multitask
  • Ability to exercise discretion and confidentiality
  • Ability to lift approximately 15-20 lbs
